As in previous years, the research specialists at Pentadoc Radar have again analysed mailroom solutions in 2008. With the four top leading solutions taking part in this comparison test, this year can be seen as a summit meeting. The overall winner this year is the company TIS.
In 2008 the best mailroom management system comes from TIS
The four leading solutions in the area of automated mailroom management came together in a specifically set-up test laboratory in Graefelfing, near Munich.
It was the aim of the Pentadoc Radar to determine which out of more than 20 available solutions in this market segment was the leading solution, and to use the results of this comparison test as a benchmark for further product evaluations. Before the actual test was put together, the analysts at Pentadoc Radar evaluated the solutions available in the market and set up a short list of nine.
‘The results shown in the benchmark can be interpreted as real top performances, to measure up against it will be a challenge of all competitors,’ said Guido Schmitz.
The following producers of automated mailroom solutions were included in the second comparison test:
- EMC Deutschland GmbH with the product Input Accel and Dispatcher
- Gaa GmbH with the product Insiders smartFIX SUITE 4.0
- Kofax Deutschland AG with the product Kofax Capture 8.0 (KC8) and
- Kofax Transformation Modules 3.5 (KTM 3.5)

The testing compared recognition performance (document classification and data extraction), allround product characteristics, ergonomics of the user interface, administration options, and the performance of the production environment. In particular, importance was given to the practicality and the direct application of the solutions in an office environment.
As such, two real scenarios were used as script and identifiers for the comparison and for the
evaluation of single functional elements, which are indispensable for a total automated mailroom solution. In detail, the participants needed to demonstrate:
- The setup of a new application for the classification and extraction of data for the document
types of ‘change of address’ and ‘cancellation’ - The optimisation and the management of the application throughout the benchmark test
The ‘time to application’ was of particular interest with regards to the application samples, i.e. how much time was needed to create a functioning application and what knowledge was required.
